Group travel

A group of volunteers.

Arranging a group booking, whether large or small, can be challenging but we can make it easier for you.

What is group travel?

  • 10 or more people* travelling in economy.
  • Seven or more people* travelling in premium economy or business.
  • Four or more people* travelling in First.

 

* Excluding infants under 2 years of age at time of travel.

Benefits of booking as a group

  • A dedicated team to look after you.
  • Book flights with a small deposit for each passenger.
  • We'll always try to seat your group members together.
  • You can change names in your group, free of charge, before tickets are issued.

You can buy delicious M&S snacks and treats on board our Euro Traveller services to and from London Heathrow and London Gatwick. Payment for snacks and drinks can only be made by credit or debit cards.

If you are an Executive Club Member, you have the option to pay using Avios. Please be sure to download the British Airways app, or to update it to the latest version before you fly. Please ensure that all members of your group are aware of the payment options available.

How do I book?

Once your flight booking for your group is confirmed, contact the Group Sales team to find out more about Prepaid seating. It’s not possible to pay for pre-pay seating on ba.com for group bookings.

If you don't want to pre-pay for your seating, we’ll allocate your group with seats free of charge closer to departure. While we will try to seat your group together, this cannot always be guaranteed.

What would you like to eat? You decide

We offer a range of delicious food and drink options on board all our cabins. When you're travelling to many long haul destinations, you can even choose your main in-flight meal from our exclusive online menu before you travel, giving you more choice and peace of mind.

Choose and purchase your meal from the World Traveller menu between 30 days and 24 hours before your flight.

How do I pre-order my meal

It’s not possible to order meals on ba.com so once your flight booking for your group is confirmed, contact the Group Sales team to book your meals. If you choose not to order your main meal in advance, we’ll offer you a complimentary standard meal on board your flight.

Benefits of booking as a group

  • You can book your flights with a 20% deposit.
  • You can pay your balance 8 weeks before.*
  • You can tell us who is travelling up to 2 weeks before departure.*
  • We'll manage your group's seat assignment in advance so we'll seat your group members together where we can.

What happens next?

Once you have received your quote from us, call us to complete your group booking. We'll secure your flights for two weeks, free of charge. If you'd like to speak to us directly, please call:

How to complete and pay for your booking

  • A 20% non-refundable deposit two weeks after you’ve made your booking will secure your flights.
  • You just need to complete payment for your group eight weeks before departure.
  • You can pay by credit card, debit card or bank transfer.

Making changes to your booking

  • You can change your travel dates or upgrade to the next travel class (if available), for an extra charge.

  • You can change names in your group, free of charge, before tickets have been issued. When tickets have been issued, you can stll change names for a fee of £30 each. However exceptions apply by country, so please contact us for more information.

How to contact us

If you are not a customer from the UK, Ireland or North America, please contact your local British Airways office to request a group booking.

Have you completed your booking?

Once you've completed your booking we will need names and Advance Passenger Information (API) for all group members at least two weeks before departure. The details we require will depend on the country you are travelling to or from.

If you have made your Group booking with a travel agent please submit your names and API details  to them.
