Group travel

A group of volunteers.

Arranging a group booking, whether large or small, can be challenging but we can make it easier for you.

What is group travel?

  • 10 or more people* travelling in economy.
  • Seven or more people* travelling in premium economy or business.
  • Four or more people* travelling in First.

 

* Excluding infants under 2 years of age at time of travel.

How do I book?

Once your flight booking for your group is confirmed, contact the Group Sales team to find out more about Prepaid seating. It’s not possible to pay for pre-pay seating on ba.com for group bookings.

If you don't want to pre-pay for your seating, we’ll allocate your group with seats free of charge closer to departure. While we will try to seat your group together, this cannot always be guaranteed.

Don’t get caught out at the airport – plan ahead to save time and money

Extra bags with British Airways (Including flights operated by BA CityFlyer)

You can take up to a total of ten checked bags per person, excluding infants (children under two). This total includes any free allowance you may have. So, for example, if your flight includes one free checked bag, you can pay to take up to nine additional bags.

Get the best price when you pay for extra bags by paying in advance at any time before you check in, or just turn up at the airport and pay the airport rate. It’s not possible to pay for extra bags on ba.com for group bookings.

Each extra bag can be up to the same size and weight as a standard checked bag as described in our checked baggage allowances.

Not only is the food and drink we offer on board complimentary, it is sourced locally from reputable suppliers before being freshly prepared for your flight. All of this means we know the origin of everything we serve, so go ahead and enjoy.

If you are flying in World Traveller (economy)

For many flights departing from London Heathrow you can now pay for a wider choice of indulgent meals from the online menu between 30 days and 24 hours before your flight.

How do I pre-order my meal

Once your flight booking for your group is confirmed, contact the Group Sales team to find out more about Preorder dining. It’s not possible to pre-order meals on ba.com if you're booked in a group booking.

If you choose not to pre-order your main meal in advance, we’ll offer you a complimentary standard meal on-board your flight.

Benefits of booking as a group

  • You'll have a dedicated team to look after you.
  • You can book your flights with a 20% deposit.
  • You can pay your balance 8 weeks before.*
  • You can tell us who is travelling up to 2 weeks before departure.*
  • We'll manage your group's seat assignment in advance so we'll seat your group members together where we can.

What happens next?

Once you have received your quote from us, call us to complete your group booking. We'll secure your flights for two weeks, free of charge. If you'd like to speak to us directly, please call:

How to complete and pay for your booking

  • A 20% non-refundable deposit two weeks after you’ve made your booking will secure your flights.
  • You just need to complete payment for your group eight weeks before departure.
  • You can pay by credit card, debit card or bank transfer.

Making changes to your booking

  • You can change your travel dates or upgrade to the next travel class (if available), for an extra charge.

  • You can change names in your group, free of charge, before tickets have been issued. When tickets have been issued, you can stll change names for a fee of £30 each. However exceptions apply by country, so please contact us for more information.

How to contact us

If you are not a customer from the UK, Ireland or North America, please contact your local British Airways office to request a group booking.

Have you completed your booking?

Once you've completed your booking we will need names and Advance Passenger Information (API) for all group members at least two weeks before departure. The details we require will depend on the country you are travelling to or from.
